1. Who We Are

VoltSpec (voltspec.online) is an electrical job specification, takeoff, and estimating tool operated by VoltSpec LLC(“VoltSpec,” “we,” “us,” or “our”), based in Texas, United States.

This Privacy Policy explains what information we collect, how we use and share it, where it is stored, and the choices and rights you have. It applies to the VoltSpec website, web application, and related services (collectively, the “Service”).

VoltSpec is an independent tool. We are not affiliated with, endorsed by, or sponsored by Elliott Electric Supply, Ferguson, Eaton, any utility company (including Austin Energy or CPS Energy), or any manufacturer or distributor. References to suppliers, vendors, catalog numbers, or pricing are provided for reference and convenience only.

2. Information We Collect

2.1 Information you provide

  • Account information — your email address and authentication credentials when you create an account (managed through our authentication provider, Supabase Auth). We never see or store your raw password.
  • Profile information — optional details such as company name, phone number, and license number if you choose to add them.
  • Job and project data — the inputs you enter to build a job, including ZIP code, city/jurisdiction, job type, panel type, voltage/phase, one-line diagrams, panel schedules, circuit and feeder data, notes, and other configuration choices.
  • Uploaded plans and documents — electrical plans, drawings, PDFs, and images you upload for AI-assisted plan takeoff, and job-site photos you attach to a project or warranty record.
  • Quote requests and bills of materials (BOM) — the materials lists, catalog numbers, quantities, reference pricing, and recipient details you generate or send through the Service.
  • Communications — messages you send to support, feedback, beta survey responses, and collaboration comments.
  • Payment information — when you subscribe to a paid plan, your payment is processed by Stripe. VoltSpec does not receive or store your full card number; we receive only limited billing metadata (e.g., subscription status, plan, last four digits, and a Stripe customer ID).

2.2 Information collected automatically

  • Usage data — feature usage and metering (e.g., number of jobs generated, AI takeoffs used) used to enforce plan limits and improve the product.
  • Technical data — IP address, browser type, device and operating system information, and timestamps, collected through normal web-server and security logging (including for rate limiting and abuse prevention).
  • Cookies / local storage — we use strictly necessary cookies and browser storage to keep you signed in, remember preferences, and support offline mode. We do not sell cookie data or use third-party advertising trackers.

2.3 Information we do not intentionally collect

We do not request sensitive personal categories (such as government ID numbers, health, or biometric data). Please do not upload documents containing such information. If a plan or photo you upload incidentally contains personal information, it is handled under this policy and you may request deletion (see Section 8).

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service (generate takeoffs, panel schedules, one-line diagrams, proposals, PDFs, and quotes).
  • Analyze uploaded plans using AI to produce material takeoffs and estimates.
  • Authenticate you, manage your account, and enforce subscription plan limits and metering.
  • Send transactional emails you request — for example, emailing a quote request, a panel-schedule engraving file, or a warranty reminder to your own verified account email.
  • Protect the Service through security, rate limiting, fraud and abuse prevention, and debugging.
  • Process payments and manage subscriptions through Stripe.
  • Communicate with you about updates, support, and (where permitted) product news. You can opt out of non-essential messages.
  • Comply with legal obligations and enforce our Terms of Service.

We process your data on the legal bases of performance of a contract (providing the Service you signed up for), legitimate interests (security, product improvement, abuse prevention), consent (where required, e.g., optional communications), and legal obligation.

4. AI Plan Analysis (Important Disclosure)

VoltSpec’s AI Plan Takeoff feature sends the plan files, drawings, PDFs, or images you upload to our AI subprocessor, Anthropic (Claude), for analysis. This means:

  • Your uploaded job/plan content leaves VoltSpec’s infrastructure and is transmitted to Anthropic solely to generate your takeoff/estimate.
  • Anthropic processes this content to return results to you. Under Anthropic’s commercial terms, inputs and outputs submitted through the API are not used to train Anthropic’s models.
  • We send only what is needed to perform the analysis you requested. Do not upload plans containing confidential third-party or personal information you are not authorized to share.

If you do not want plan content sent to a third-party AI provider, do not use the AI Plan Takeoff feature; the rest of VoltSpec’s manual tools do not transmit your job data to Anthropic.

5. How We Share Your Information

We do not sell your personal information. We share information only as follows:

  • With subprocessors that operate the Service on our behalf (see Section 6), under contracts that require them to protect your data.
  • With collaborators you choose — if you invite a teammate, sales rep, or vendor to a project, the project data you share becomes visible to those accepted collaborators.
  • With recipients you direct — when you send a quote request or BOM, it is delivered to the recipient address(es) you specify (e.g., your sales rep), in addition to your own verified account email.
  • For payments — with Stripe, to process your subscription.
  • For legal reasons — to comply with applicable law, a valid legal request, or to protect the rights, safety, and property of VoltSpec, our users, or the public.
  • In a business transfer — if VoltSpec is involved in a merger, acquisition, or sale of assets, your information may be transferred, subject to this policy.

6. Subprocessors

We rely on the following third-party service providers (“subprocessors”) to deliver the Service. All are US-based or process data in the United States.

We may update this list as our infrastructure evolves. Material changes will be reflected here with an updated “Last Updated” date.

7. Data Storage, Security, and Retention

  • Location. Your data is stored and processed in the United States.
  • Security. We use industry-standard safeguards including HTTPS/TLS encryption in transit, strict HTTP security headers and Content Security Policy, row-level security on our database, scoped authentication tokens, server-side authorization checks, and rate limiting on sensitive and costly endpoints. No method of transmission or storage is 100% secure, but we work to protect your information.
  • Retention. We retain your account and project data for as long as your account is active or as needed to provide the Service. Shared/public links expire automatically (e.g., 90 days). We retain certain records longer where required for legal, tax, accounting, or security purposes. When you delete your account, we delete or de-identify your personal data as described in Section 8, except where retention is legally required.

8. Your Rights and Choices

Depending on where you live, you may have some or all of the following rights regarding your personal information:

  • Access — request a copy of the personal data we hold about you.
  • Correction — ask us to correct inaccurate or incomplete data (you can edit most profile and project data directly in the app).
  • Deletion (“right to erasure”) — request deletion of your account and associated personal data.
  • Portability — request your data in a portable format. Many outputs (PDFs, BOMs, exports) are downloadable directly in the app.
  • Opt out — unsubscribe from non-essential communications.
  • Non-discrimination — we will not deny service or charge you differently for exercising your privacy rights.

How to request account deletion

The fastest way is self-serve: open your Profile & Preferences page and use Delete my account in the Danger Zone. This immediately deletes your account and cascade-deletes your associated records.

Alternatively, to request deletion by email, contact privacy@voltspec.online from the email address on your account (or a verifiable account contact) with the subject line “Delete My Account.” We will:

  1. Verify your identity (typically by confirming control of the account email).
  2. Delete your account and cascade-delete your associated database records (projects, job data, usage records, quote logs).
  3. Remove your uploaded files and job-site photos from storage.
  4. Complete the request within 30 days and confirm by email.

Some records may be retained where required by law (e.g., transaction/tax records held by our payment processor) or for legitimate security purposes; these are minimized and access-controlled.

9. Your California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have the right to know what personal information we collect, to request access and deletion, to correct inaccurate information, and to opt out of the “sale” or “sharing” of personal information.

VoltSpec does not sell or share personal information as those terms are defined under the CCPA/CPRA. We do not use personal information for cross-context behavioral advertising. To exercise your rights, contact privacy@voltspec.online. We will not discriminate against you for exercising these rights. You may use an authorized agent to submit a request on your behalf, subject to verification.

10. Your European/UK Privacy Rights (GDPR)

If you are in the European Economic Area, the United Kingdom, or Switzerland, you have rights under the GDPR/UK GDPR, including access, rectification, erasure, restriction of processing, data portability, and objection to processing. Where we rely on consent, you may withdraw it at any time.

Because our infrastructure is US-based, your data is transferred to and processed in the United States. We rely on appropriate safeguards (such as our subprocessors’ Standard Contractual Clauses) for these transfers. To exercise your rights or ask about transfers, contact privacy@voltspec.online. You also have the right to lodge a complaint with your local data protection authority.

11. Children's Privacy

VoltSpec is a professional tool intended for use by adults in the electrical trade. The Service is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the Effective Date and Last Updated date above and, where appropriate, notify you in the app or by email. Your continued use of the Service after an update means you accept the revised policy.
